You have a situation and asked to write a letter requesting information or explaining the situation. These usually come in three styles, personal, semi-formal or formal style. The situation given is imaginary and you often have to make up explanations and inquiries for your letter.
When you have finished imagining what best subject matter to suit the situation given, you start your letter in the following format.
Let us follow the task below to understand the format.
You agreed to take a particular job over the summer, but due to unforeseen circumstances, you can no longer take the position.
Write a letter including:
- Explaining your situation
- An apology
- Express that you would be interested in the position next summer
1- The salutation. This is, Dear sir/madam, Dear Mr Johns, Dear Mary or sometimes Hello Mary if it is a close friend.
Dear Mr Jack,
2- First paragraph. Start with a brief of writing a letter. This is restating the situation given in the task. So to say, you refer to the situation.
Let me hope this letter finds you in good health. This is in regard to the sales position I was interviewed for two weeks ago. I am glad you offered me the job however, unavoidable circumstances have made it hard for me to take the offer.
3- Middle. Write about each issue you were given in a task.
There might be one or more issues to address in this part. Write then and explain well.
On good scrutiny of the job requirements you gave me, I realized that as I am still studying at the university, it will be hard for me to meet the required working hours, as some coincide with the time I am meant to be at university. Most hours required of me are in the early afternoon, a time I am meant to start studies at my university.
4- Last paragraph. Write a polite letter closing.
I so much wish you accept my apology, and if there is any offer for a job for hours in the late evenings, I will be glad to take it up.
5- Signing off.
