An offical letter is written to inform offices, branches, and subordinates of official information. This is usually an internal letter of a company because it relays the same information to members of the same company. It relays official information like rules, regulations, procedures, events, or any other such information. A formal letter follows certain structure and decorum.
SAMPLE TASK AND RESPONSE.

You are the secretary of an international company. You are asked to write an official letter to the employees of the company. In the letter:

Hope this finds you in good health. This letter is to remind all Apex International LTD workers of the annual meeting to be held on the 20th July 2023 in the company main hall starting at 10am. The meeting will be chaired by the Chief Executive Officer.
During the meeting, you are expected to come with an annual report of your tasks. This should include the progress, challenges and solutions to better your work. Heads of departments are expected to present their appraisals of the department members. The finance department is expected to present the financial stand of the company, including procurement expenditure, salaries, incomes and projections for the new year.
During the meeting, there will be appointment of new office bearers, including heads of departments and heads of new departments as formed by the company hierarchy.
